Billing & Refund Policy
Pinecrest Solutions Ltd · Version 2026-10-20 · Effective October 20, 2026
This policy forms part of our Terms of Service and explains how billing works. Prices are in US dollars and exclude applicable taxes.
1. Free trials
- Every plan starts with a free trial: 30 days for Journal, 60 days for Ledger and 90 days for Books. You do not need a card to start a trial.
- We email your billing address 5 days before your trial ends.
- If you have stored a card, your subscription converts to a paid monthly subscription when the trial ends, and your card is charged the plan price. If you have not stored a card, your subscription is not charged and moves into the grace period described in section 4.
- Trials are limited to one per customer. We may end trials that are created to get around this.
2. Automatic renewal
Paid subscriptions renew automatically every month and your stored card is charged the plan price, plus any overage accrued in the previous month, on each renewal date until you cancel. We email you 5 days before each renewal. You can cancel at any time in the console under Billing, or by emailing billing@microbooks.io.
3. Usage and overage
- Ledger and Books include a monthly number of transactions. Each transaction over that number is charged at the overage rate on the pricing page and billed with your next renewal.
- Journal has hard caps on transactions and API calls. Requests over the cap are refused rather than charged.
- Usage is shown in the console and resets each calendar month.
4. Failed payments and expiry
- If a renewal cannot be charged, or no card is stored, your subscription enters a 14-day grace period. Writes keep working, with warning headers on API responses, and we retry a stored card on days 0, 1, 3, 7 and 14.
- If payment still fails at the end of the grace period, the subscription expires. Your books become read-only: you can still read and export everything, but new writes are refused until you renew.
- Expiry does not delete your data. Deleting your account is a separate action.
5. Changing plans
You can change plans in the console at any time. The new plan's limits apply straight away, and its price applies from your next invoice. We do not prorate charges for part of a month. If you change plans during a trial, the trial length becomes that of the new plan, counted from the day your trial started.
6. Cancellation
When you cancel, your subscription stays active until the end of the current paid month and then does not renew. Read access to your books continues for as long as your account exists.
7. Refunds
- Because every plan comes with a free trial long enough to evaluate it, monthly fees are generally not refundable, and we do not give refunds for partial months or unused transactions.
- We will refund charges made in error, duplicate charges, and fees for any period in which the Service was materially unavailable through our fault. We also refund as the Terms require, for example when we terminate without cause or remove a material feature.
- If you forgot to cancel and have not used the Service since a renewal, email billing@microbooks.io within 7 days of the charge. We will normally refund that renewal.
- Approved refunds go back to the original payment method.
8. Consumers in the UK and EU
If you subscribe as a consumer in the UK or EU, you have a legal right to withdraw within 14 days of the contract starting. Your free trial starts when you sign up. By starting a paid subscription when it ends, you ask us to begin the paid service immediately and acknowledge that you lose the right to withdraw for that period once the service has been fully performed. If you withdraw during a paid period, we will refund you minus a proportionate amount for the service already provided. Nothing in this policy affects your statutory rights.
9. US automatic renewal disclosures
For customers in US states with automatic renewal laws: the subscription continues until you cancel; it is charged monthly at the price shown at sign-up, plus overage where applicable; the price may change with 30 days' notice; and you can cancel online at any time from the Billing page in the console.
10. Taxes and invoices
Invoices are available in the console. Prices exclude VAT and similar taxes, which we add where the law requires based on your location. Business customers can add their tax identification number to their billing details. [CONFIRM ONCE VAT / DIGITAL SERVICE TAX TREATMENT IS SETTLED.]
